Room-based Video Conference Scheduling
The State of North Dakota utilizes a video conference scheduling package called Renovo.
It is a web-based application that can be accessed through a standard internet browser and is primarily used to connect Room-to-Room, Room-to-Desktop Video, or a combination of both. North Dakota education customers use the application to connect their video classrooms. State Agencies and local governments also use Renovo for connecting room-based video meetings. Renovo's web scheduler allows end-users the ability to quickly schedule video conferences through a secure and intuitive web interface. Each user is assigned a user name and password with associated privileges and access rights. Renovo's validation process will check all available resources of the requested video conference to make sure it has reserved them and to eliminate any future conflicts. At the scheduled time, the point-to-point or multi-point video conference will automatically dial-out and connect all scheduled endpoints and disconnect them at the conclusion of the event without user interaction.
Scheduling Assistance
State agencies, local governments (political sub-divisions), and ND Education customers may contact NDIT's Service Desk to request that a video conference be scheduled on their behalf. The requesting party would need to provide the meeting title, date and time frame of the meeting along with all the endpoint names and IP addresses that need to be connected. Video rooms at the local level must get local approval before any rooms can be scheduled in Renovo. A good rule of thumb is to ask the local endpoint administrator what the IP address (e.g. 165.234.xxx.xxx) and name of the video room is (e.g. itd11.bismarck) once you have received local approval to use the room. Screen layout and any additional features can be discussed at the time of the request.
If you are coordinating a statewide video conferencing event and need to book video-enabled classrooms located at the universities and colleges across North Dakota, please use the list located here for contact information for the various higher education campuses. Please be advised that some campuses may charge a fee for the use of their video classrooms. Each contact person will be able to provide the fee schedule for their respective campus.
Scheduling Self-Service
Agencies that frequently use room-based video conferencing and want those rooms to automatically connect to each other may wish to have someone from their staff authorized to use the Renovo video conference scheduler. They will need to submit a Generic Service Request (Type: Network/Telecom) within the NDIT Service Portal to request a Renovo account for the authorized staff member. The Service Request should contain the new staff member's name, e-mail address, and work phone. The request should also contain the name of a current staff member that already has access to the Renovo video scheduler so that the proper permissions can be authorized (cloned) for the new staff member. Quad Screen Layout in PEXIP
The quad screen layout (2x2) is now available in PEXIP version 20+. To select the quad screen layout, go to the Bridge Setup page of your reservation in the Renovo/GTL video scheduler and scroll down to the Host and Guest view section.
Click the drop-down menu of the View box and select 4 main speakers only (4 + 0 layout).
Make sure to finish your reservation and VALIDATE for the new screen layout to take effect when your reservation launches.
